I went ahead and set up a Big Blue Button Server. We'll test that out and see if it is suitable for our purposes. I have used the software many times before, and it seems to work well.
If any other fediverse projects or organizations want to use our server for meetings, let me know.

I like it because you don't have to download a client to use it. It is web based. And it has features useful for presentations and courses. -

There are specific links for meetings, and you don't have to sign in to attend the meeting if you have the link.
For example, this room is for Federated Works. We can create multiple rooms.

I didn't have a Federated Works logo that was rectangular, so I put the WisTex one there as a placeholder. I will probably change the logo to Federated Works. I haven't decided yet.
WisTex is my company, and is technically who is paying for the server right now. I figure it is a win-win. WisTex gets to use it, and so does Federated Works and other fediverse-related organizations.
But my ultimate goal is to incorporate Federated Works as a public benefit corporation, and for it to have its own resources.
It comes down to funding. Until Federated Works gets some funding of their own, it will have to rely on shared resources like this.
But the logo is trivial. We can change it. And I probably will change it. -

We are on a 30 day trial for one cloud host. They want $100 a month for 75 concurrent users. I found another one that wants $85 a month for 80 concurrent users. Another one is $89 a month for 100 concurrent users. It's not cheap.
I did another search today, and found another one in Dubai that is a lot cheaper. I might try them. But then the server would be half way around the world. $7.99 for 100 concurrent users, but you can only have one meeting at a time. It jumps to $39.90 or more a month if you want to have more than one meeting at a time.
The other option is to get a virtual or dedicated server. The downside of that is we have to manage it ourselves, unless we opt for managed hosting, which costs more. If we manage it ourselves, you have to include the labor (hours worked to maintain it) when calculating the true cost.
Unless we opt for the $7.99 one meeting at a time plan in Dubai, it's going to cost at least $40 a month for the amount of users we want to have concurrently.
So, even though the software is free, running a server capable of having large meetings and multiple users is not cheap.
